Job Description

Position Summary:

The Union Payroll Clerk is responsible for accurately processing payroll for union employees in compliance with collective bargaining agreements (CBAs), preparing and submitting union reports, coordinating union benefit and dues payments, and assisting with workers’ compensation reporting. This position requires strong attention to detail, a clear understanding of union payroll requirements, and the ability to work collaboratively with HR, field operations, and union representatives.

Key Responsibilities:

  • Process weekly payroll for union employees in accordance with prevailing wage laws and union agreements.
  • Prepare and submit certified payroll reports and union remittance reports to appropriate trade unions and benefit trust funds.
  • Calculate and remit union dues, fringe benefits, pension contributions, and other required payments.
  • Ensure compliance with all collective bargaining agreements, including wage rates, classifications, and shift differentials.
  • Maintain accurate employee payroll records, including job classifications, hours worked, pay rates, and deductions.
  • Assist in preparing and responding to payroll audits and union inquiries.
  • Coordinate workers’ compensation claims with HR and insurance providers, ensuring timely reporting and tracking of claims.
  • Review and reconcile payroll reports to ensure accuracy of union payments and compliance with contract terms.
  • Stay current on federal, state, and local payroll regulations, including prevailing wage laws and union rules.
  • Assist with end-of-year reporting, including W-2s, 1099s.

Qualifications:

  • High school diploma or equivalent required; associate’s or bachelor’s degree in accounting, business, or related field preferred.
  • 2+ years of payroll experience, preferably in a union or construction environment.
  • Familiarity with union contracts, certified payroll reporting, and prevailing wage regulations.
  • Experience with payroll software (e.g., QuickBooks, Sage, ADP, or similar systems).
  • Strong Microsoft Excel skills and ability to handle large data sets with accuracy.
  • Excellent organizational skills and attention to detail.
  • Ability to handle confidential information with discretion.
  • Strong communication and problem-solving skills.

Preferred Qualifications:

  • Experience processing multi-union payrolls across multiple job sites.
  • Knowledge of workers’ compensation claims handling and OSHA injury logs.
  • Understanding of Davis-Bacon Act, local prevailing wage laws, and union reporting portals.
