Job Description

Role: Executive Assistant - Financial Services

Location: Onsite, 5 days/week

Schedule: Standard business hours (9am–6pm); flexibility may be required based on workload

THE ROLE

A leading Private Equity firm is seeking a detail-oriented and proactive Executive Assistant to support a team of senior professionals. The ideal candidate will thrive in a fast-paced environment, demonstrate excellent organizational skills, and bring a high level of professionalism and discretion to the role.

RESPONSIBILITIES

  • Arrange domestic and international travel, including accommodations, transportation, and necessary documentation.
  • Manage calendars and coordinate meetings across multiple time zones.
  • Support event planning and logistics for meetings, offsites, and team functions.
  • Process expense reports accurately and in a timely manner.
  • Draft, edit, and prepare documents, presentations, and correspondence.
  • Maintain and update contact lists and help track communications.

QUALIFICATIONS

  • Proven experience supporting senior-level professionals in an administrative capacity
  • Financial Services, Private Equity, Hedge Fund, Asset Management, or Venture Capital industry experience preferred
  • Excellent organizational and communication skills
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Strong attention to detail, time management, and the ability to handle sensitive information with discretion
  • Experience in fast-paced, high-performing environments strongly preferred
