Administrative Assistant II – Police Payroll and Finance Provides highly responsible, complex clerical and administrative duties. Assists in the maintenance and preservation of books, records, papers, documents, and files. Performs a wide variety of complex fiscal processes to account for City records and funds. Ensures fiscal processes are in compliance with department policies, established procedures, and compliance. Essential Functions: Reviews ordinances, resolutions, and contracts approved by City Council and prepares them for signing. Verifies completeness of ordinances, resolutions, and contracts and distributes copies. Files minutes and other documents in special journals/binders. Publishes notices in newspaper and ensures affidavits. Assists department staff in payroll duties when required. Manages purchases, inventory, and invoices to accounts payable. Prepares and submits travel vouchers. Reviews budget encumbrances and prepares line item transfers. Receives and accounts for money received, prepares deposit slips. Answers incoming calls and researches information. Assists in bid proposals and public bid openings. Signs or stamps public notices and posts. Copies information requested by City Departments or public. Performs other duties as assigned. Qualifications: Associate’s degree in Business Administration or related field. Two years of secretarial experience. Typing test of 45 words per minute or higher (attach results). Current Texas driver’s license. Valid computer skills in Microsoft Outlook, Word, and Excel. Knowledge of secretarial practices, modern office administration, and business English. Strong communication skills in English; basic Spanish acceptable. Physical Requirements: Light lifting up to 24 pounds, light carrying under 15 pounds, fine motor skills, ability to see, write, read, identify colors, use office equipment. Background & Drug Testing: All applicants required to undergo a background check, drug and alcohol testing before employment, with random testing for safety-sensitive positions.
