Administrative/Bookkeeping Assistant

Location: 104 38th Ave., Greeley, CO 80634 (In-person only; not a remote position)

Job Type: Part-Time (20–30 hours per week; may vary seasonally)

Compensation: $18–$21/hour (based on experience)

Growth Opportunity: Potential to transition to full-time based on company needs

Position Overview: We are seeking a detail-oriented and professional Administrative/Bookkeeping Assistant to support our accounting team. This role combines customer service, clerical work, and bookkeeping responsibilities, including invoicing and client communication. The ideal candidate is proactive, organized, and committed to delivering excellent client service.

Key Responsibilities

• Provide outstanding customer service in all client interactions.

• Answer and manage phone calls, voicemails, and text messages using office phones and cell phones.

• Schedule and coordinate in-person and virtual appointments.

• Process client payments (in-person and virtual).

• Prepare and send invoices through multiple platforms.

• Perform clerical duties, including printing, copying, and scanning.

• Assist with bookkeeping tasks and invoicing on behalf of clients.

• Maintain strong relationships with external partners, including customers, vendors, banks, and insurance providers.

• Gather, verify, reconcile, and report client financial information.

• Support accounting staff with additional administrative or bookkeeping tasks as assigned.

 

Required Skills & Qualifications

• Proven customer service skills with a professional, client-focused demeanor.

• Strong written and verbal communication skills with excellent spelling, grammar, and attention to detail.

• Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams).

• Familiarity with e-signature applications and Square payment systems (preferred).

• Strong organizational skills with the ability to manage multiple priorities.

• Self-motivated, dependable, and able to work independently.

• Commitment to inclusivity and supporting diverse populations.

 

Preferred Experience

• 1+ year of experience with QuickBooks Online and/or QuickBooks Desktop.

• Ability to set up new companies in QuickBooks.

• Proficiency in generating and analyzing Balance Sheets and Profit & Loss Statements.

• Experience with sales tax account setup and filings.

• Knowledge of billing and invoicing procedures.
